Staffly Pro - your whole back office
Shift planning, hours, invoicing and cashflow in one system. For companies that plan their own people and need the hours to travel all the way to invoice and payroll.

Is Staffly Pro right for you?
Pro is for companies that plan their own employees - and invoice or pay salary based on those hours.
You plan your own people
You have shifts to cover per department and role - stores, terminals, warehouses or sites.
The hours have to travel
Approved hours should become an invoice in your accounting system and reach payroll without anyone retyping them.
You want to see the money early
You need cashflow and margin per order, not a picture that arrives once the books close.
Departments, roles and staffing demand
You describe once how many people and which roles each department needs in a normal week. That is what the week proposal builds on - and it can vary across the season.
- Departments are where the work happens - a store, a warehouse, a terminal
- Roles are the competence a shift requires - shift lead, checkout or loading crew
- Staffing demand per department, weekday and role with start, end and break
- Season windows, so December or peak season has its own demand
- Employee profiles with contract hours, competences and recurring availability

"Propose week" - with three guarantees
Staffly builds a proposal for the whole week and shows who was placed where, and why. You approve before anything becomes real.
- A hard rule is never broken: absence, overlap, the 11-hour rest period, the wrong role or department, and the weekly ceiling all disqualify someone
- If a shift cannot be covered lawfully it is left open and reported - rather than a plan that merely looks complete
- Re-run the proposal without damage: shifts already assigned keep their person, and nothing is duplicated
- The same input gives the same plan - what you approved in the preview is what gets written

Nobody sees a plan you haven't published
Shifts stay drafts until the week is published. Before publishing you get a check: how many shifts are still unstaffed, and which carry warnings. Warnings never block - you decide.
- Employees only ever see published shifts
- Pre-publish check: unstaffed shifts and warnings gathered in one place
- Coverage overview per day: needed, planned and short - broken down per role

Absence, replacements and shift swaps
A shift plan rarely survives the week untouched. When someone calls in sick, Staffly automatically flags the shifts now missing cover and helps you find someone who can lawfully take them.
- Sickness, holiday and leave - approved absence updates the plan immediately
- "Find replacement" ranks only those who can lawfully take the shift - and says so plainly when nobody can
- Offer the shift to several people: first to accept, or you pick
- A swap needs the colleague's consent first - then you approve

The plan in their pocket - and a notification when it changes
Employees have their shift plan in Staffly's app for iOS and Android, and get a push notification when a shift changes. You decide what they can do: see the team's plan, report sick, request leave, claim open shifts or swap.
- Shift plan in the app with push notifications on changes
- Report sickness - the planner is told immediately which shifts need cover
- Confirm hours after the shift in one tap, so the time entry is ready
- Six settings you switch on and off per company
Approved hours become a draft
Staffly gathers the period per order and creates the invoice in your accounting system - hours, expenses and supplements together, with receipts as PDF.
- Invoice period per order: weekly or monthly
- Hours, expenses and supplements on the same invoice
- Receipts attached as PDF
- Prices from the customer's price agreement
- The invoice is sent and booked in the accounting system

See the money before payday
The cashflow forecast includes both what is invoiced and what is delivered-but-not-yet-invoiced, and subtracts upcoming payroll and VAT.
- Forecast thirty days ahead
- Upcoming payroll obligations before payday
- VAT to be set aside
- Margin per order - not just revenue

About working-time rules
Staffly warns based on the rules you configure - by default an 11-hour rest period and 48 hours per week. The warnings are advisory. Staffly does not verify whether your planning complies with the Danish Working Hours Act or your collective agreement; that responsibility remains yours.
